Private Duty Police Requests


Step 1.What you need to know before you make a request

  1. This application request does not allow for jobs at XFinity Theater. 
  2. Assignment of extra duty police personnel is subject to the terms and conditions set forth in the Hartford Police Union Collective Bargaining Agreement and any City of Hartford Private Duty Jobs Policy.
  3. The minimum assignment time for extra duty police services is eight hours
  4. The Billable Rate is based on the type of job: Regular or Construction
    • Services requested for a construction job require a copy of a valid permit shall be submitted with the Private Duty Detail Request and Application and an original permit should be retained on the job site. 
  5. Private Duty Detail Requirements (per union contract):
    • 3 - 6 officers will have 1 Sergeant assigned (if available)
    • 2 - 5 Sergeants will have 1 Lieutenant or above assigned (if available)
    • 2 + Lieutenants will have 1 Police Captain assigned (if available)
    • The private job supervisor may adjust the number of Sergeants and Lieutenants.
    • The applicant will be solely financially responsible for all services and any adjustments
  6. Applicants must comply with all requirements of state, local and federal laws, regulations, codes and ordinances.
  7. Applicant signature constitutes full agreement to the terms and conditions and financial responsibility for the private duty services requested and provided.
  8. All parties agree that the Hartford Police Department may, at any time and for any reason, amend the terms and conditions of this agreement with written notice of the changed terms.

1 This rate is billed when Sergeant or Lieutenant is supervision officers on job.
2 Rates apply to jobs that occur on weekends and/or holidays. All others are billed at the Regular Rate.

Step 3.Routine non-emergency services

Routine non-emergency private police services shall be requested with the HPD Auxiliary Services Division at (860)757-4330 not less than twenty-four (24) hours in advance.


Step 4.Cancellations

You must submit a cancellations by phone more than 2 hours prior to the officer's reporting time.

Any cancellations received within 2 hours of the start time will result in a charge for 4 hours of service. This will be at the rate the applicant was responsible for per the agreement.

Cancellations received after the scheduled start time will result in charges for the full amount.


Step 5.Payments

All invoices are due and payable upon receipt and in full no later than 30 days of invoice date.

An applicant will be assessed a $20 fee for any check that is returned due to lack of funds.

Monthly interest charges incur at 1.5% for all invoices over 30 days, or at the interest rate allowed by law, whichever is lower.

Failure to pay any invoice after 60 days may result in suspension of the account. Collection or legal action can occur after this time. Suspension remains until the account is current or a payment plan agreement is in place. Interest charges continue to accrue.

Applicants must be current with all financial obligations, taxes and/or fees due to the City of Hartford. The City reserves the right not to lift the suspension until the account is current. The applicant can not hire private duty officers until the account comes current.

The Police Chief reserves the right to require extra private duty officer(s) for public safety reasons.


Online Payments

The City of Hartford has an online payment option for Police Private Duty Jobs. Once you have received the invoice for your Private Duty Detail, payment can be made by credit card (Visa, MasterCard, Discover and American Express are accepted) or ACH/EFT. All credit card transactions are subject to a 2.95% service fee with a $1.95 minimum charge; ACH/EFT transactions are subject to a fixed service fee of $0.50.

After payment has been submitted, you will receive an email confirmation.
